Privacy Policy

How Bossley Bears Volleyball Club Pty Ltd (ABN 58 680 308 070) collects, stores, uses and protects your personal information when you sign up, book or contact us.

01What we collect

Name, email, phone, date of birth, emergency contact, Volleyball NSW membership number, booking history and payment records (card details are held by our payment provider, not by us). We also collect waiver records, injury or medical information you choose to share with a coach, guest details you give us when requesting a guest pass, photos and video from sessions, and messages you send through our website forms. For Active Kids vouchers, the voucher number and the child’s name.

02Why we collect it

To run bookings and memberships, verify insurance cover, contact you about sessions you are booked into, apply vouchers, keep players safe and meet our obligations to Volleyball NSW, the venue and the law. With your consent, we also use analytics and advertising tools (such as Google Analytics and Meta) to understand how our website is used and to measure and improve our advertising. We do not sell your information.

03Where it lives

Account, booking and payment data is held by our booking platform (TeamUp) and its payment provider. Website form submissions are stored by our website host (Webflow) and emailed to the club inbox. If you allow analytics or marketing cookies, website usage data is processed by Google and Meta, and we may use AI tools to analyse that data or help us respond to enquiries. Some of these providers store or process data outside Australia, including in the United Kingdom, the European Union and the United States. We choose providers with strong security and privacy protections, but by using our services you acknowledge that your information may be handled overseas.

04Who can see it

Club administrators and the coaches supervising your session see the details they need — your name, level, medical notes you have chosen to share and emergency contact. We do not sell or share data with third parties for marketing.

05Photos and video

Sessions and games may be photographed or filmed for coaching and club channels. See the Photography and Media Consent policy for how to opt out.

06Your rights

You can ask to see, correct or delete the information we hold about you at any time by emailing enquiries@bossleybears.com.au. We respond within 30 days. Deleting an account ends your membership and bookings. We may need to keep some records, such as payment and tax records, incident reports and child safety records, for as long as the law requires.

07How long we keep it

We keep your information while you are a member or customer and for up to seven years afterwards, which covers tax, insurance and incident record requirements. After that it is deleted or de-identified. Photos and coaching footage follow the Photography and Media Consent policy.

08Security and data breaches

We use secure, access-controlled systems and only give access to the people who need it. If a data breach is likely to cause you serious harm, we will tell you and, where required, the Office of the Australian Information Commissioner.

09Complaints

If you are concerned about how we have handled your information, email enquiries@bossleybears.com.au and we will respond within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

10Cookies

We use necessary cookies so the site works and, only with your consent, analytics and marketing cookies such as Google Analytics and the Meta Pixel. What each one does, and how to change your choices, is explained in our Cookie Policy.
